An AI meeting brief needs to show what changed

Prepare client reviews with current information, source dates and unresolved requests clearly distinguished.

In brief

A relationship manager needs to see what changed, which record supports it and what still needs confirmation. Test the brief against superseded documents, conflicting records and outstanding requests before relying on it.

A relationship manager preparing for a client review needs to know what has changed since the last conversation. A polished summary can make that harder when it puts an old instruction, a current record and an unanswered question into the same confident paragraph.

Consider an illustrative file. The CRM contains the previous address, a more recent email reports a move, and the document folder includes both an earlier portfolio report and its replacement. A request sent after the last meeting is still awaiting a response. An assistant can retrieve all of those items and still produce a brief that gives the relationship manager the wrong picture.

The useful question for a firm evaluating AI is whether the brief makes those differences visible enough for someone to act responsibly.

What the reader should be able to check

For each material point, the relationship manager should be able to open the relevant source and see its date. The brief should distinguish an instruction received from a change accepted into the firm's record. Where two sources disagree, it should carry the disagreement forward for review rather than quietly select a winner.

A sentence such as “the client has moved” might be appropriate as a record of what the client reported. It does not establish that every internal record has been updated, that supporting information has been checked or that another institution has accepted the change. The team needs to know which of those steps remains outstanding.

The same care applies to portfolio information. The briefing process can retrieve an approved reporting output and help the adviser find relevant context. It should preserve the authoritative values and clearly identify the reporting period. Preparing that material does not give the assistant authority to recommend an investment or make a suitability decision.

A test that resembles the working day

A firm can evaluate a proposed capability using a small set of representative files, with permission to use the information in the chosen environment. Include an ordinary file alongside cases with superseded documents, an unresolved request, conflicting records and a source the user is not allowed to access.

Ask relationship staff to use the resulting brief for a simulated meeting. Record what they had to reopen, correct or reconstruct, and whether any important uncertainty was concealed. Keep preparation and review time together when comparing the result with the existing process. A faster first draft is useful only to the extent that the finished preparation is dependable and worth the effort.

Agree the acceptable result and the conditions that would stop the trial before reviewing the outputs. That makes it harder for an attractive demonstration to substitute for evidence.

Follow the information after the meeting

Preparation connects to what happens next. A useful implementation can carry proposed actions into a review queue, with an owner and the source of the commitment beside them. Staff should confirm ambiguous promises before they become tasks, record changes or messages to the client.

For the operating sponsor, this provides a concrete first scope: one participating team, agreed information sources, a briefing that exposes uncertainty and a controlled route for follow-up. Expansion can follow evidence from that scope. The first approval does not need to cover every record or every relationship in the firm.
