Periodic reviews
The system brings together relevant deeds, correspondence, previous decisions and outstanding actions. It identifies changes, missing records and inconsistencies that need attention, with a route back to the source material.
The useful output is a reviewable account of the matter and its unresolved issues. A shorter summary alone may leave the trust officer doing much the same investigation again.
Requests and administration
A distribution request can require supporting information, an understanding of earlier decisions and preparation for the appropriate review. Within the firm's authority structure, the system can obtain and reconcile the material, prepare the matter for decision and track subsequent instructions to completion.
Trustee discretion remains with the authorised decision-maker. That does not require every retrieval, comparison and administrative step leading to the decision to remain manual.

Compare the effort required to reach a properly supported decision and complete the resulting administration. Include the trust officer's checking, investigation and correction, rather than treating a generated file summary as the completed service.
